Code of Conduct & Registration Terms & Conditions for all Attendees & Exhibitors 

2025 TAA ONE Conference & Expo 

 

REGISTRATION AND RATES 

Once you complete the purchase of your registration, the purchase and rate are final and won’t be adjusted later. It is your responsibility to confirm that the price displayed at checkout is the price that you expect and agree to pay before you complete your purchase. 

We may offer a promotional, coupon, discount, or similar code (collectively “promotional codes”), as part of a limited-time sale. Promotional codes cannot be applied retroactively to a previously completed purchase. 

If you are purchasing group registration, we may register your attendees for you using the names and email addresses you provide. You are responsible for obtaining your attendees’ permission to share their personal information with TAA and for TAA, its vendors, and/or TAA ONE event sponsors to use their information as described in the ‘Privacy’ and ‘Scanning’ sections below. You are also responsible for your attendees’ compliance with these terms and conditions. We may refuse entry or cancel registration for any attendee that does not comply. 

CANCELLATION 

Things happen. We understand. Here’s how cancellations and refunds work:
All cancellations must be received in writing by Wednesday, April 09, 2025 to receive a 100% refund. Cancellations after Wednesday, April 09, 2025 will receive a 50% refund. No refunds will be processed after Wednesday, April 30, 2025. 

Payments made by credit card will not be refunded the 3 percent processing fee. Monies paid will not be eligible to be applied to future ONE Conference & Expo events. 

Balance Dues: Badges and other registration materials will not be distributed to any registrant that has not paid in full. 

TAA reserves the right to review all conference registrations. If TAA identifies your company as a Non-Exhibiting Supplier, you will be notified and required to register as a Non-Exhibiting Supplier. 

In the unlikely event that we have to reschedule or cancel TAA ONE, or if we have to change the format to a digital-only event, we’ll notify you by email, and/or by other methods. If the event is canceled, your registration will also be canceled, and we’ll refund any registration fees received from you. If the event is rescheduled or changed to a digital-only format and you’re no longer able or wish to attend, you may cancel your registration by giving us written notice within two (2) weeks of receiving our notice. If you do not notify us of your cancellation within that time, you will not be eligible for a refund. 

Other cancellation and refund rights depend on the specifics of your purchase. 
To cancel your registration (and get your refund, if applicable), you will need to notify us in writing at conference@taa.org and taaregistration@spargoinc.com. 

If you’re entitled to a refund, the amount refunded will be based on the fees paid for the registration(s) you cancel and will be refunded to your original payment method. These cancellation terms apply regardless of the reason that you cancel (even if you, unfortunately, need to cancel for personal reasons or other reasons that are out of your control).
 

Please remember that canceling your registration does not automatically cancel your hotel and travel arrangements. You are responsible for canceling your own hotel and travel reservations. 

REGISTRATION TRANSFER / SUBTITUTION 

You have the option of transferring your pass to another person if you can no longer attend. All substitutions and name changes must be received in writing by 11:59 p.m. Wednesday, April 30, 2025 and sent to taaregistration@spargoinc.com. Substitution requests must be accompanied by a letter from the original registrant. After Wednesday, April 30, 2025 all changes must be processed onsite at the Registration check-in counter onsite in the convention center. Please remember that transferring your registration does not automatically transfer your hotel and travel arrangements. You are responsible for transferring your own hotel and travel reservations. 

PRIVACY 

Registration data 

We may share your registration data with our vendors in order to provide event information and help improve your experience at TAA ONE or future TAA events. For example, if we offer a mobile app, we might make your data available to the mobile app provider so it’s accessible through the app. We may also share your registration data with providers related to TAA ONE, like TAA, our registration service providers, and other vendors who work with us to make sure TAA ONE is a great experience for you. By providing your registration data to us, you grant us permission to do these things. 

What we will not do is sell, rent, or give your registration data to third parties. You have the option at registration to allow us to share your registration information (including your name, company, job title, work industry, and email) with TAA ONE sponsors and exhibitors, and if you select this option, we’ll share your information with TAA ONE sponsors and exhibitors so you can receive communications directly from them. You also may have the option of sharing your registration information directly with other attendees or sponsors through our mobile app. If you choose to share (or allow us to share) your information, you understand that we do not control how other attendees or sponsors use your information. The important point here is that you can choose whether or not to share your information. If you believe a sponsor or other attendee has collected your information without your consent, please inform us immediately. 

Performance metrics 

We may share performance metrics such as page views, clicks, and impressions with TAA ONE sponsors and exhibitors or vendors to measure the performance of our TAA ONE mobile app, content, and advertising.  

BEHAVIOR AND CONTENT 

By registering for TAA ONE, you agree to follow our Code of Conduct. Our Code of Conduct outlines the behavior we expect from everyone at TAA ONE.  

If we (in our sole discretion) determine that you are behaving in a manner that is—or could be—disruptive to the event or other attendees or is in violation of our Code of Conduct or these terms, then we can limit your access or ban you from the event. If we do, you aren’t entitled to any form of refund or compensation. At our discretion, we may also ban you from future events for a definite or indefinite time period. 

We encourage you to speak to event staff immediately about any individual you believe is acting in a manner that violates our Code of Conduct or these terms. You can also email conference@taa.org if you prefer to address an issue anonymously. 

Drones are not allowed at the event. Hoverboards, rollerblades, roller skates, skateboards or other forms of recreational transportation devices are also not allowed at the event. This section doesn’t restrict you from using any required assistive device (like, a wheelchair, walker, or motorized scooter) if needed due to a disability or injury. Trained service animals (as determined by the Americans with Disabilities Act) are allowed, but no other animals are allowed into the venue. Please know that TAA ONE does not provide push services for attendees and for safety reasons, requests to use other power-driven mobility devices will be reviewed on a case-by-case basis. Unless you have the express prior written permission of the event producer, you may not bring to the event any of the following: any photography device which is designed for, or suitable for, any commercial purpose; selfie sticks; tripods; monopods; boom arms; or any device which could be used to mount or hold a photography device, or could be used to extend a person's reach. The event producer reserves the right, in its sole discretion, to prohibit any device it believes may be used in violation of these terms, which it believes poses a safety risk, or which it believes may lessen the enjoyment of the event by others. 

You’re invited—and indeed, encouraged—to meet and visit with all of the great companies who will be joining us as official sponsors and exhibitors at TAA ONE. But keep in mind that “suitcasing” or “outboarding” is strictly prohibited at TAA ONE. 

The views or opinions expressed by any event attendee, speaker, or sponsor are not necessarily the views or opinions of TAA ONE. All event attendees, speakers, and sponsors are responsible for their own content (including presentations, marketing collateral, advertising, and online web content). You are not allowed to use any content that infringes another party’s intellectual property rights, is harassing, misleading, or unlawful. To ensure a clear and focused event experience, you agree not to organize or host any events that may draw attendees away from or cause a conflict with TAA ONE. You also agree that you won’t use the TAA ONE name or the names of our sponsors (which includes TAA), without our written permission first. 

AGE LIMITATIONS 

The age guidance for attending TAA ONE is 18+. If you need to bring a child with you, please request a companion ticket by emailing conference@taa.org. Due to safety requirements, they must be registered for the event, and children must have a parent or guardian present at all times. Children under the age of 18 are not allowed into parties where alcohol is served, or any venue-restricted areas such as loading docks and equipment storage areas. TAA ONE companion tickets will be the same ticket type as the requestor and are limited to 1 per attendee. Companion tickets are only valid for TAA ONE-sanctioned events. 

You have to be at least 21 years of age to drink alcohol, and you’ll show us a Government issued ID if we ask. Of course, all drinking should be done responsibly. 

PHOTOGRAPHY, VIDEO, AND AUDIO RECORDING 

Unless we notify you otherwise, then you’re permitted to take screenshots, photos, videos, or audio recordings (collectively, “recordings”) of most sessions at TAA ONE, as long as you comply with these terms. 

These recordings might include content or material that is protected by copyrights, trademarks, or other rights which we own or license. So, other than for your personal use, you are not allowed to copy, reproduce, publish, or distribute the recordings without our written permission. 

We allow — and even encourage you — to disseminate the recordings through social media (like tweeting, or posting to Facebook or Instagram), as long as the clips aren’t more than one minute in length and you are otherwise in compliance with these terms. Here are a couple of examples of what’s allowed: tweeting “#TAAONE = the best time ever!” with a picture of you or your team attending the event, or posting a photo of  the expo hall on Instagram. Here are a couple of examples of what’s not allowed: posting a live stream of a breakout session, and/or posting a recording on Facebook of one of our speakers after we announced that recordings aren’t allowed. 

Now some important restrictions: you agree that you won’t use any recordings (1) in a way that is misleading or disparaging, (2) in a way that implies that the content of the recordings is your own, (3) for commercial purposes (this means, for example, you can’t sell them) or in a way that implies that we endorse, sponsor or approve of your business, services or products, or (4) in violation of applicable law (including but not limited to privacy laws) or in connection with an obscene, indecent, or unlawful topic or material. If we request that you discontinue the use of any recordings, you will immediately comply with our request. And, of course, if we do notify you that recordings aren’t allowed, then you agree that you won’t take any recordings.
Now about recordings, we can take: by attending TAA ONE and related events, you consent to having your image, voice, likeness, presentation, and/or other copyrightable material recorded, including video, audio, and still photography. We reserve the right to use recordings taken at TAA ONE and related events however we might choose to, without giving you notice or any compensation. We might use them, for example, in our website, marketing materials, or other publications. 

SECURITY AND SAFETY 

We want everyone to be safe at TAA ONE — both in person and online — and we’re guessing you do too. By attending TAA ONE in person, you understand we might randomly check bags or other personal belongings, and you agree not to leave any of these unattended at any time. You also understand you may be required to pass through security scanners whenever you enter the TAA ONE space, and agree that you won’t bring anything to TAA ONE that could cause a safety hazard.
All security concerns should be reported to TAA ONE staff immediately by emailing conference@taa.org. Our security team may take whatever measures they deem appropriate without prior notice in order to aim to ensure the safety of attendees at TAA ONE. You must comply with the direction of our security team, as well as all applicable rules and regulations. 

Attendees and their belongings may be searched upon entry into TAA ONE, and you, your Authorized Attendees, and Authorized Recipients consent to such searches and waive any related claims that might arise against TAA ONE, its employees, and its agents related to such searches. If you or your Authorized Attendee or Authorized Recipient elect not to consent to such searches, or they may be denied entry into TAA ONE. 

ASSUMPTION OF RISK 

You understand and agree that there are certain risks of personal or property injury, illness, and/or death associated with attending TAA ONE, including, without limitation, risks related to the novel coronavirus SARS-CoV-2 and any resulting disease (together with any mutation, adaptation or variation thereof, “COVID-19”). You understand and agree (a) that the risk of exposure to COVID-19 and other illnesses cannot be fully eliminated and is increased by proximity to other people, (b) that an inherent and elevated risk of exposure exists in any public place or place where people are gathered, (c) that attending TAA ONE may involve coming into close contact with other people, (d) that there is no guarantee, express or implied, that you will not be exposed, and (e) that exposure can result in being subject to quarantine requirements, illness, disability, and other short-term and long-term health effects, including death. 

Despite these risks, you voluntarily assume ALL known and potential risks and danger of injury and/or death from any cause, resulting from, in connection with, or incidental to TAA ONE, including exposure to illnesses such as COVID-19. By accepting possession or by using any wearable device, you expressly assume all risks and dangers arising from or incidental to TAA ONE, whether such risks occur before, during, or after the event, and agree that TAA ONE, our employees, vendors, speakers, sponsors, and agents are not responsible for any such risks and dangers. 

AGENDA  

We might make updates to the agenda from time to time, which could include a change in speakers or the cancellation of certain sessions. We can’t promise the attendance of any speaker, entertainer, or presenter and won’t refund your registration or provide any other compensation based on changes to the agenda.  

THESE TERMS 

Please be aware that we may update and change any part or all of these Terms and Conditions at any time without notifying you first. If we update or change these Terms and Conditions, the updated Terms and Conditions will be posted at taa.org/conference (or another website we designate). When we change these terms, the "Last Modified" date above will be updated to reflect the date of the most recent version. We encourage you to review these terms periodically. If you don’t agree to these terms, then you shouldn’t register for TAA ONE.
